Venngage offers two powerful collaboration tools — Team and Groups — designed to help users work together seamlessly across projects.

With either tool, you can:

  • Share designs with members of your organization

  • Collaborate on designs in real time

  • Organize and manage access to shared projects

  • Invite guests to view shared designs

 

What Are Team and Groups?

Both Team and Groups allow users to organize, share, and collaborate on designs with their organization members.

They make it easy to:

  • Create shared folders for projects

  • Collaborate on designs in real time

  • Manage who can view or edit designs

Team is available on Business plans, while Groups is available on Enterprise plans.

 

How to Use Team

Team is ideal for smaller or simpler projects that need flexible collaboration.

  1. Make sure your account is a Business plan.

  2. Invite Team Members

    • Click Invite Team in the top-right corner.

    • Type the member’s email in the pop-up modal and hit Continue to add them.

  3. Share a Design

    • From your My Designs page, hover over a design and click Share.

    • Turn on Share with Team to make the design accessible to all Team Members.

  4. Collaborate

    • Team Members can view and edit on shared designs in the Team Designs section.

  5. Save Templates for Your Team

    • Use Team Templates to give everyone access to reusable designs.

  6. Invite Guests

    • Guests can preview on Team designs without needing a Venngage subscription.

How to Use Groups

Groups are designed for larger organizations that need structured collaboration across multiple teams or projects.

  1. Make sure your account is an Enterprise plan

  2. Access Groups

    • Go to your Home page.

    • Under your organization name in the left sidebar, you’ll see the Groups section.

  3. Create or Join a Group

    • Admins and Members can create public or private Groups.

    • Public Groups are visible to all Members; private Groups are visible to Admins only.

  4. Add Members and Share Designs

    • Add Members to Groups, share designs, and collaborate directly within them.

  5. Co-edit

    • Group Members can edit shared designs, and invite guests outside your organization to view them.

💡 Tip: Groups are ideal for larger teams or projects that require structured collaboration and multiple access levels.

 

Team vs. Groups: What’s the Difference?

The key difference lies in who can use them and how they’re managed:

  • Team → for Business plan users

  • Groups → for Enterprise plan users
