Inviting Members to Your Enterprise Account

On an Enterprise account, your team can collaborate on designs in real-time, leave comments on shared designs, and organize designs in public and private Groups that Members can create and invite each other to.

 

View Members in Your Organization

You can view all Members and Groups directly from your Venngage Home page.

  1. In the left sidebar, click your organization name.

  2. The Groups page will open, showing all public and private Groups.

  3. Switch to the Members tab to see a list of all users in your organization.

The Members list includes:

  • Name – The user’s full name

  • Email – The email address linked to their Venngage account

  • Role – The user’s assigned role (Admin, Member, or Guest)

 

Invite a New Member or Guest

From the Members tab:

  1. Click Add Members in the upper right side of the screen.

  2. Type the user’s email address into the invite field.

  3. Click the dropdown in the email field, then select Member or Guest.

  4. Choose which Group to include the new Member or Guest in by clicking the dropdown menu (Select a group).

  5. Click Invite.

📝 Tip: Guests need to create a Venngage account and log in to view shared designs. They can only view, not edit, designs in Groups they’ve been invited to.

 

Accepting an Invitation

If you’ve been invited, check your email inbox for the Venngage invitation link and follow the instructions to sign up or log in using your registered email.

 

Manage Roles (Admin, Member, Guest)

Admins can upgrade, downgrade, or remove users.

  1. Go to your organization’s Members tab.

  2. Find the user whose role you want to change.

  3. Click their current role (in the “Role” column).

  4. Choose the new role from the dropdown list.

  5. Confirm the action in the popup modal.

 

Role Descriptions:

  • Guest: Can only view shared designs in Groups they’ve been invited to.

  • Member: Can edit designs in joined or created Groups, and invite others to public Groups.

  • Admin: Can edit all designs and Groups, manage users, and assign roles across the organization.

💡 Tip: When a user is downgraded from Member to Guest, their seat becomes available to assign to another team member.
