Creating and Customizing Flowcharts

A flowchart is a type of diagram that visually represents a process, sequence, or decision path. It typically flows in one general direction—vertically or horizontally—starting from a single “Start” item.

From that starting point, items can branch out and connect to multiple parent or child items, helping you clearly map out relationships and workflows.

Why Use a Flowchart?

Flowcharts are perfect for visualizing processes that include multiple steps, tasks, or participants. They make it easier to:

  • Identify process stages and decision points

  • Clarify responsibilities or task flow

  • Communicate complex information in a simple, visual way


Add a Shape

  1. Click the shape you want to connect to. You’ll see ports appear around it (top, bottom, left, right).

  2. Click a port to open the Add Shape modal, where you can choose from different shape types.

  3. To connect to an existing shape, click and drag from one port to another.

  4. Dropping the line on the canvas (not on another shape) opens the Add Shape modal so you can add a new shape directly.

💡 Each port represents a connection point where a line can link one shape to another.
 

Change a Shape

You can adjust the shape of an item at any time:

  1. Select the shape on your canvas.

  2. Use the toolbar controls at the top to switch to a different shape type.

  3. The layout automatically adjusts to fit the new shape.

 

Reconnect Shapes

  1. Select a line between two shapes.

  2. Click and drag the end of the line to a new shape’s port.

 

Change the Line Style

  • Edit color/styles.


Tips for Building a Clean Flowchart

  • Keep shapes evenly spaced: Use Smart Guides or grid lines to maintain consistent spacing.

  • Use consistent colors and shapes: For example, use rectangles for process steps and diamonds for decisions.

  • Label clearly: Add short, descriptive text for each step or decision point.

  • Minimize line crossing: Align shapes to avoid overlapping connectors for a cleaner layout.

  • Group related sections: If your flowchart covers multiple processes, use color or background boxes to group related elements.
